Job Description

Description of the role: We’re seeking a proactive Receptionist to join our Administration and Operations team. In this role, you will act as the firm's first point of contact, providing support and assistance to both clients and staff. 

What your day might look like: 

  • General reception activities – Providing a professional and welcoming front-of-house experience for clients, visitors, and staff, while ensuring the reception area remains organised and presentable.

  • Managing meeting rooms – Coordinating meeting room bookings, preparing rooms for internal and external meetings, and ensuring facilities and equipment are available and functioning.

  • Answering incoming calls – Professionally handling incoming phone enquiries, directing calls to the appropriate team members, and taking accurate messages when required.

  • Managing distribution of incoming mail – Receiving, sorting, and distributing incoming mail and deliveries to the appropriate recipients in a timely manner.

  • General practice administration – Assisting staff with document scanning, printing, copying, and electronic filing to support efficient business operations.

  • Ordering of supplies – Monitoring and replenishing office, kitchen, and stationery supplies to ensure adequate stock levels are maintained.

Desired Skills and Experience

  • Excellent written and verbal communication skills

  • Experience in managing a variety of tasks simultaneously 

  • Experience using Microsoft Office and Outlook
