Job Description
The Role
We are seeking a proactive and detail-oriented Office Administration Assistant to support our Office and Business Advisory teams. In this role, you’ll provide high-quality administrative support, assist with client communications, manage compliance-related tasks, and help maintain accurate client records. As you grow in the position, you’ll gradually take on additional responsibilities and contribute more broadly to the team’s success.
Assisting with the preparation of outgoing correspondence
Opening and distributing incoming mail and franking outgoing mail
Scanning, copying and binding of documents
Preparing refreshments
Efficient and professional operation of reception
Greeting clients professionally at reception by welcoming and directing them appropriately
Answering, screening and forwarding of incoming phone calls
Orders and deliveries
Maintaining office stock levels
Maintaining cleanliness and tidiness around the office (e.g. reception area, kitchen area, stationery areas)
Updating client database where required
Assisting with preparations for office events/meetings
Compilation of activity statements together with letters to clients
Assisting other administrative staff where necessary

Desired Skills and Experience
The Person
To be considered for this position, ideally you will have the following skills, experience and attributes:
A minimum 1 years’ experience in a professional services firm; experience within an accounting firm is highly regarded.
Demonstrated ability to perform effectively under pressure and manage high-volume, deadline-driven workloads.
High attention to detail, with strong written and verbal communication skills
Strong organisational skills, with the ability to manage multiple priorities, despite changing demands and requirements.
A high level of integrity, responsibility and a professional outlook
A team focused attitude with a confident and friendly personality
Able to demonstrate positive engagement and interaction with clients/customers
Proven skills in Microsoft Office and Outlook
