Job Description

The Role 

We are seeking a proactive and detail-oriented Office Administration Assistant to support our Office and Business Advisory teams. In this role, you’ll provide high-quality administrative support, assist with client communications, manage compliance-related tasks, and help maintain accurate client records. As you grow in the position, you’ll gradually take on additional responsibilities and contribute more broadly to the team’s success. 

  • Assisting with the preparation of outgoing correspondence 
  • Opening and distributing incoming mail and franking outgoing mail 
  • Scanning, copying and binding of documents 
  • Preparing refreshments 
  • Efficient and professional operation of reception 
  • Greeting clients professionally at reception by welcoming and directing them appropriately 
  • Answering, screening and forwarding of incoming phone calls  
  • Orders and deliveries 
  • Maintaining office stock levels 
  • Maintaining cleanliness and tidiness around the office (e.g. reception area, kitchen area, stationery areas) 
  • Updating client database where required 
  • Assisting with preparations for office events/meetings 
  • Compilation of activity statements together with letters to clients 
  • Assisting other administrative staff where necessary

Desired Skills and Experience

The Person 

To be considered for this position, ideally you will have the following skills, experience and attributes: 

  • A minimum 1 years’ experience in a professional services firm; experience within an accounting firm is highly regarded.  

  • Demonstrated ability to perform effectively under pressure and manage high-volume, deadline-driven workloads. 

  • High attention to detail, with strong written and verbal communication skills 

  • Strong organisational skills, with the ability to manage multiple priorities, despite changing demands and requirements. 

  • A high level of integrity, responsibility and a professional outlook 

  • A team focused attitude with a confident and friendly personality 

  • Able to demonstrate positive engagement and interaction with clients/customers 

  • Proven skills in Microsoft Office and Outlook
