Job Description
The Role
As a Team Administration Assistant, you will play a key role in supporting one of the firm’s Business Advisory teams by providing high-quality administrative assistance. Your responsibilities will include managing the tasks outlined below, assisting with client communications, and supporting the team with compliance, reporting, and maintaining client records. Over time, you will also take on additional administrative responsibilities as the role evolves.
Compilation of Tax Packs (Financial Statements and Income Tax Returns), together with monthly fees
Effective management of calendars and schedules for both Partners and Managers
Act as a main point of contact between clients and Partners/Managers for scheduling, document collection, or follow-ups
Coordinate and manage the client onboarding process from start to finish
Accurate preparation and formatting of professional documents, including reports, letters of advice, and routine correspondence
Assisting with new process implementation or projects when necessary
Processing of ATO correspondence and liaising with the ATO on behalf of clients
Preparing client lodgements for processing with the ATO
Liaise professionally with clients and provide hospitality (if required) during office visits
Desired Skills and Experience
The Person
To be considered for this position, ideally you will have the following skills, experience and attributes:
A minimum 3 years’ experience in a professional services firm; experience within an accounting firm is highly regarded
Experience using practice management software is highly advantageous
Demonstrated ability to perform effectively under pressure and manage high-volume, deadline-driven workloads
Exceptional attention to detail, with strong written and verbal communication skills
Proven ability to engage confidently with executive-level stakeholders and high-profile clients, maintaining professionalism, and responsiveness at all times
Strong organisational skills, with the ability to manage multiple priorities, despite changing demands and requirements
A high level of integrity, responsibility and a professional outlook
A team focused attitude with a confident and friendly personality
Strong client service focus, with the ability to take ownership of your role and manage your workload independently and effectively
